A Jewelry Reorder Handover Checklist for Brands

Prepare the approved baseline, reference history, and current requirements before requesting a repeat.

“Please repeat our last order” sounds specific until the team opens the records. The original brief may differ from the approved version. A later email may contain an accepted exception. The sample on a desk may belong to an earlier review.

This jewelry reorder handover checklist helps identify the version you want repeated and distinguish it from anything that is changing. Assemble the evidence before requesting confirmation, so the discussion starts with a shared reference rather than a reconstruction of the previous order.

01 · Approved baseline

Identify the approved baseline

Start with the previous order reference, design identifier, and final approved revision. Locate the files that governed the accepted order, together with the relevant approval record. Check that the documents agree before treating them as the baseline.

If two files conflict, flag the discrepancy rather than choosing the newest filename automatically. The most recently modified file may be a working copy. Identify the person who can confirm which instruction was approved and record the resolution.

Use our guide to jewelry design revision control to keep the approval record and current files aligned.

02 · Retained reference

Check the retained jewelry reference

Locate the approved physical reference, where one exists, and confirm its identifier and condition. Record who holds it and whether it remains suitable for the intended comparison.

Link the associated images and review notes. If the reference is missing, damaged, or cannot be confidently identified, raise that before requesting an exact repeat. Agree an appropriate replacement or review step with the project team rather than treating an unrelated stock piece as the approved reference.

03 · Decision history

Separate permanent changes from exceptions

Review the decisions made during the previous order. A one-time accepted variation does not automatically become the specification for every future order. Equally, a permanent update should not disappear because an older brief is easier to find.

Create two short lists: changes incorporated into the approved baseline, and exceptions limited to the earlier order. Include the decision reference for each. Ask for clarification wherever the original approval does not establish whether a change was temporary or continuing.

04 · New requests

State what is changing this time

List every requested difference from the repeat baseline. Keep proposed changes separate from confirmed instructions. A small visual adjustment, a revised marking, or a different assortment should be visible in the handover rather than buried in an email paragraph.

For each item, name the affected design, the requested result, and the person responsible for approval. Ask the other party to identify any related decisions that need reopening. Do not assume the rest of the specification remains unaffected.

05 · Current requirements

Confirm the current commercial requirements

Put the requested quantity, assortment, delivery destination, and target date in a separate order section. Label targets as requests until they are confirmed. Ask for a current quotation and confirmation of the applicable terms rather than carrying forward an earlier price or schedule by default.

Keep the product specification and commercial confirmation connected through the same design and revision references. This makes it possible to see which exact version a quotation or order confirmation covers.

06 · Indexed handover

Send one indexed handover

Complete your jewelry reorder handover checklist with a short cover note and a numbered file list. Include the approved baseline, reference sample details, decision history, requested changes, and current order requirements. Mark superseded files clearly and keep them out of the active instruction set.

Check that the receiving team can open the links. Give each open question an owner. The goal is a package that another person can use without relying on the original project manager’s memory or access to a private message thread.
